Privacy Policy
This Policy explains how we handle personal information when you use our websites, mobile applications, admin dashboards, and related services that reference MangoFit (collectively, the “Services”).
1. Who is responsible?
The data controller for MangoFit Services is Mangosoft and its affiliates as identified in your order form or subscription agreement. If you use MangoFit through an employer or gym, that organization may also act as a separate controller for data they upload about you.
2. What we collect
Depending on how you interact with MangoFit, we may process:
- Account & profile data — name, email, phone, organization, role, credentials, profile photo if you add one.
- Access & device data — timestamps of scans or door events, device identifiers for approved readers, coarse location signals if your administrator enables location policies, IP address, app version.
- Operational & billing data — plan tier, invoices, support tickets, communications you send us.
- Technical & usage data — logs, diagnostics, cookies or similar technologies on our web properties (see §7).
We do not require sensitive categories (health, biometrics) to use MangoFit unless your organization explicitly configures such features and lawfully collects them.
3. Why we use data (legal bases)
We process personal data to:
- Provide the Services — authenticate users, enforce access rules, sync admin settings, deliver support.
- Secure the platform — fraud prevention, abuse detection, integrity of QR issuance and redemption.
- Improve reliability — troubleshooting, analytics in aggregated or de-identified form where possible.
- Comply with law — tax, accounting, lawful requests, safety.
- Marketing — only where permitted, with opt-out for commercial emails.
Where GDPR/UK GDPR applies, we rely on contract, legitimate interests, consent (where required), or legal obligation as appropriate.
4. How long we keep data
We retain information for as long as your account is active, as needed to provide the Services, and as required by law or dispute resolution. Access logs may be kept for a configurable retention window chosen by your organization’s administrator (subject to our minimum/maximum technical limits). Backups may persist for a limited additional period before overwrite.
5. Sharing & subprocessors
We share personal data with:
- Your organization — admins can see member/staff data they are entitled to under their configuration.
- Service providers — hosting, email, analytics, payment processors, customer-support tooling, under contracts.
- Authorities — when legally required or to protect rights and safety.
- Business transfers — in a merger or asset sale, subject to appropriate notices.

6. International transfers
If we transfer personal data across borders, we use appropriate safeguards such as Standard Contractual Clauses or equivalent mechanisms where required by applicable law.
7. Cookies & similar technologies
Our marketing site and admin web apps may use cookies for session security, preferences, and measurement. You can control cookies through browser settings; strictly necessary cookies may still be required for login.
8. Security
We implement administrative, technical, and organizational measures designed to protect personal data, including encryption in transit, access controls, and monitoring. No method of storage or transmission is 100% secure.
9. Your rights
Depending on your region, you may have rights to access, rectify, erase, restrict, object, or port your data, and to withdraw consent where processing is consent-based. 10. Children
MangoFit is not directed to children under 16. If you believe we collected a child’s data in error, contact us for deletion.
11. Changes
We may update this Policy from time to time. We will post the new version with a revised “Last updated” date and, where changes are material, provide additional notice as required by law.
